Office and Administrative Support Level II

South Dade, Miami, FL

The client needs someone who is computer savvy and has a strong receptionist experience.

EXAMPLES OF WORK

 Greets persons entering office, determines nature and purpose of visit and answers questions and provides information

 Direct visitors to meeting locations within Department facilities or contact meeting organizers to escort attendees to meetings within secured areas of the facility. 

 Operates telephone switchboard. Answer all incoming calls and transfer calls to appropriate Department personnel. 

 Assist callers with referrals/transfers to other state agencies based upon the subject of the call.

 Assist the public with questions or directions regarding other government agencies, meetings and collect pertinent information to be able to do so.

 Assists in managing the overall administrative functions of the Executive Office.  Assists in planning, coordinating, and organizing work assignments and projects. 

 Assists in maintaining file system, correspondence, meeting minutes, and other related documents.  Reviews and distributes mail.  

 Processes correspondence and requests for staff and management. 

 Coordinates, schedules and sets up conferences and meetings for the Executive Office.  Procees travel requests/reimbursements

 Records, compiles, enters, and retrieves information, by hand or using computer.

 Maintains files and control records to show status of action in processing correspondence.

 Sorts or classifies information, according to content, purpose, user criteria, or chronological, alphabetical, or numerical order.

 Locates and retrieves files upon request from authorized users.

 Places materials into storage receptacles, such as file cabinets, boxes, bins, or drawers, according to classification and identification information.

 Removes or destroys out dated materials in accordance with file maintenance schedules or legal requirements.

 Scans or reads incoming materials to determine filing order or location.

 Assigns and records or stamps identification numbers or codes to index materials for filing.

 Inspects or examines materials or files for accuracy, legibility, or damage.

Inserts additional data on file records.

Authorizes or documents materials movement, using logbook or computer and traces missing files.

 Directs filing and cross-indexing of selected documents in alphabetical and chronological order.

 Prepares document descriptions and reference aids for use of archives, such as accession lists, cross-reference materials and microfilmed documents.

 Applies policy guidelines concerning public access and use of materials.
